Beginning Spring 2025, all facility reservations will be submitted through the Team Sideline system. To submit a reservation request, you will need to first create a Team Sideline account.
How to Create an Account

- Complete the registration form and click “Sign Up”
How to Submit a Reservation
- Once logged into your account, click the Facility Reservations link on the homepage
- View facility options by selecting
- Select a facility, date, and reservation times
- If only reserving one facility, select Reserve & Checkout OR
- If reserving multiple facilities, select Reserve and continue to next reservation request
- Click Proceed to Checkout
- Complete the Reservation Form & Rental Agreement
- Click Done
- Click Place Order
Once you’ve submitted your reservation request, City staff will review your application and add any applicable permit or rental fees. Reservations not requiring fees will be approved after review. Reservations requiring fees (e.g. security deposit, park permit fee, etc.) will be approved once payment has been received by the City.
City Hall Rentals
City Hall reservations for the Council Chambers and the Dirks Conference Room can be requested online, however, all City Hall rentals pend approval by City staff. If an applicable security deposit, other rental fees, additional information or documents are required, staff will reach out via the contact information submitted with the application.
Council Chambers
Hold your next family, business, or organizational event in our Council Chambers.
Council Chambers is available most evenings after 5 p.m., and all day on weekends. The Council Chambers holds about 80 people comfortably and has a full kitchen. Call City Hall at (503) 667-6211 for availability or to schedule a viewing.
The Council Chambers at City Hall can be rented by community members, organizations, or other governmental groups.

- Evening & weekend events: Insurance required with a minimum $1 million single occurrence, $2 million general aggregate, and City of Wood Village named “additional” insured
- Deposit: $50 or 20% of the total balance, whichever is greater, due once reservation is approved
City Park Rentals
Reservations for the Picnic Shelter, Gazebo, Amphitheater, Ball Field, Field 1, and Field 3 can be requested online, however, these rentals pend approval by City staff. If applicable permit fees, additional information or documents are required, staff will reach out via the contact information submitted with the application.
Donald L. Robertson City Park
The Donald L. Robertson City Park is the perfect place for your family or business event or celebration. In many cases, the facilities can be reserved at no cost (no fee or deposit for most private groups of 100 people or less).

Park Amenities
- Soccer goals are available on a first come, first serve basis except for use by PlayEast! Recreation and its recreation providers, who receive first priority
- Public Restrooms are located near the Picnic Shelter
- Drinking fountains are located near the restrooms and the splash pad (closed seasonally Oct – Apr)

- Park facilities are available most weekdays and weekends.
- Park reservations are limited to a four-hour maximum.
- The parking lot, plaza, and splash pad are a part of Donald L Robertson City Park. Rental of a facility does not provide exclusive use of any amenity outside the designated areas.
- Large groups & commercial events: Insurance required with a limit of $2,000,000 and City of Wood Village named “additional” insured
- Bounce Houses & other high-risk activities: Insurance required with a limit of $2,000,000 and City of Wood Village named “additional” insured
- Commercial events are charged a one-time $500 Permit Fee
- All permit fees are required at time of permit request. All other fees and proof of insurance are due 30 days after permit request has been granted.
City Hall & Civic Center
If your event will be catered, please provide the name of the catering business on your application.
All events serving or selling alcohol require additional liability insurance.
Any alcohol sold, served, or consumed must remain within the City Hall & Civic Center building. No alcohol is permitted outside or in Donald L. Robertson City Park.
If alcohol will be served at your event, an Alcohol Server Permit must be submitted along with your application.
If alcohol will be sold at your event, an OLCC Special Event Permit must be submitted along with your application.
Donald L. Robertson City City Park
No alcohol is permitted for sale, service, or consumption in any park facility.
If your event will be catered, please provide the name of the catering business on your application.
Parking Guidelines
UPDATE 1/6/2025: The SE Lot is closed January – June 2025 during the Park Restroom Construction Project.
- There are 3 parking lots at the City Hall & Civic Center with 2 of the lots adjoining Donald L Robertson City Park.
- Overflow parking can be found on NE Halsey Street.
- No event parking is permitted on residential streets.
- No overnight parking is permitted in the City Hall and Civic Center parking lots.
- No vehicle should be left on NE Halsey Street for a period over 48 hours. See WVMC 10.08.070.
Spend the Holidays with Wood Village
Each year the City of Wood Village hosts an annual Holiday Tree Lighting on the first Saturday of December. Holiday decorations go up around Thanksgiving and remain up until the beginning of January. These decorations, both inside and outside, make the City Hall & Civic Center the perfect place for your holiday party!
Special Notes
The City Hall & Civic Center and the outdoor plaza are unavailable for rentals on the first Saturday of December due to the annual Holiday Tree Lighting.
Holiday decorations may not be removed for private rentals.
