Vendor Supplies

Each booth vendor is responsible for their own:

  • Pop-up Tent (10’ x 10’) [1]
  • Tent Weights [2]
  • Table(s)
  • Chair(s)
  • Food & Drink [3]
  • Wagon/Dolly for Transporting Supplies

No electricity will be available to vendors.

Vendor Expectations

All vendors must provide a free resource for community members:[4]

  • Pre-filled Easter Eggs
  • Candy / Treat
  • Brochure(s)
  • Swag Items
  • Voucher / Coupon
  • Activity / Demo

All vendors are expected to remain for the duration of the event (10AM-12 PM). Please do not pack up or leave early.

The Easter Extravaganza will take place rain or shine. In case of extreme weather, City staff will make a call based on current conditions and notify you. [5]

[1] Please ensure your tent is marked as “Fire Resistant” to comply with local fire permit requirements. Gresham Fire Dept. will be onsite at 9:30 AM for an inspection.

[2] Required by all booth vendors for the safety of guests and vendors. The wind gusts at the park can easily blow tents away.

[3] There will be free coffee, donuts, etc. at the event, but if you need a fuller meal, we recommend bringing food with you or swinging by a nearby location prior to the start of the event. Tany’s Café con Pan is across the street along with many other local options.

[4] No sales of any kind are permitted unless authorized by the City in advance. A donation or tip jar is acceptable.

[5] We recommend wearing weather appropriate clothing, including rain gear and shoes that work well in wet and/or muddy conditions.

Unloading & Setting Up

Each vendor is responsible for their own set up and tear down. Based on previous feedback, vendors may temporarily park in the City Hall lot while unloading. If unloading in the City Hall lot, please follow these guidelines:

  1. If parking in the City Hall lot to unload, your vehicle will be marked with your booth number using a washable marker.
  2. Vendors parking in the City Hall lot may only do so while unloading and bringing supplies to their booth location. All vehicles must be in a designated parking spot while unloading.
  3. Vendors must remove their vehicle from the City Hall lot BEFORE setting up their booth. See Parking section below and attached map.
  4. NO parking/idling is allowed in the fire lane in front of City Hall or along the curb near the dumpster for unloading or other use.
  5. Parking attendants will be monitoring to ensure vendor vehicles are not parked in the City Hall lot after unloading.

Vendors parking in the Upper or Lower Vendor lots or the Reynolds School District lots do not need to move at any point.

We are working on arranging volunteers to assist with heavier items. If you have one, the City recommends bringing a wagon or dolly to help transport items to your booth spot.

Set Up Locations & Times

All booth vendors will be set up in the grassy field to the east of City Hall. There will be physical markers/spray paint booth numbers in the grassy field to mark the space for each vendor. See Vendor Booth list and site map below.

Vendors may arrive as early as 8:00 AM for setup. All vendors must be set up and ready to go by 9:30 AM for an inspection by Gresham Fire Dept. Vendors done setting up early are not required to stay onsite but must return by 9:30 AM. Please note that parking may be limited if you leave and then return.

If you need extra time or anticipate needing assistance moving heavier items, please reach out to Caroline Hinders at carolineh@woodvillageor.gov as soon as possible.

Vendors will park in the Lower or Upper Vendor lots or Reynolds School District parking lots. We recommend carpooling, if possible, to leave space for event guests. If possible, try not to bring any vehicles larger than a cargo van or pickup truck. Please park in a parking space that does not obstruct or block other vehicles. There is also on-street parking along Halsey Street. Please do not park in residential areas near City Hall or the park.

If you need accessible parking, there are two spots located in front of City Hall and one spot located in the Southeast lot. An accessible parking permit must be visibly displayed in the vehicle.

When arriving and leaving, please be cautious of other vehicles and pedestrians. Please follow instructions from traffic and parking attendants and other event volunteers.
